Studio Manager

SGS is seeking a studio manager to support our 24-person design-oriented architecture firm in Brooklyn. The position is 100% in-office, and could be part- or full- time, depending on experience and the candidate’s availability. The ideal candidate is energetic, well-organized, diplomatic and capable of taking on a wide variety of responsibilities, including billing, human resources and office administration. Strong communication, organization and time management skills required along with an interest in design; bookkeeping experience or graphics talents would be a plus. Please have two to five years administrative experience in a comparable setting.

Studio Organization - working closely with business development and intern staff

  • Provide direct support to partners in terms of email management and correspondence
  • Arrange client and staff meetings, and office events
  • Maintain office supplies (office, kitchen with business development/interns)
  • check and distribute mail and deliveries
  • Communicate with IT consultants and staff, maintain software licenses
  • Manage office housekeeping service, garbage collection
  • Communicate with building management and contractors regarding maintenance issues
  • Keep registered architects’ licenses and certifications (NCAARB, AIA, WBE) up to date, track continuing education
  • Keep all professional insurances up to date and provide certificates to clients

Financial

  • Create and send client bills
  • Assist bookkeeper in paying bills and tracking client and consultant invoices and payments
  • Be main point of contact for clients/consultants regarding billing
  • Prepare and organize contracts with consultants and clients
  • Prepare timesheets on projects where billable hourly backup is required
  • Analyze business performance against budget and goals with Principal and Accountant

Business Development

  • Support Business Development staff with financial info and forms needed for proposals
  • Help principals develop fee proposals

Human Resources

  • Manage hiring administration and orientation of new employees
  • Help partners schedule performance reviews
  • Review timesheets and process expense reports
  • Process vacation/comp time requests and track usage
  • Serve as the point person with our PEO company for all benefits and pay
  • Help reinforce office standards and culture
  • Review and update employee handbook annually

Qualifications

  • Proven experience in taking initiative, being resourceful, and exercising good judgment
  • High degree of professionalism and maturity
  • Must be detail-oriented, and have strong organizational, multi-tasking and administrative skills
  • Excellent written and verbal communication skills, fluent English speaker
  • Strong interpersonal communication skills
  • Ability to work well both independently and as part of a team
  • Flexibility and a willingness to perform other reasonable duties as requested
  • Must be computer savvy and have experience with different types of office printers and equipment
  • Preferred Software Knowledge
    • Microsoft Office Suite (Excel, Word, Outlook)
    • Adobe Acrobat or Bluebeam
  • Must have at least 2 years previous experience in administrative work in art or design world and a candidate who is able to provide a long-term commitment.
  • Must be eligible to work in NYC immediately -- candidates must be currently residing in the NYC area, be US citizens or hold a current US work visa that is valid for a minimum of two years

Salary is commensurate with qualifications and experience, along with determination of full or part-time work, ranging from $65k to $95k excluding bonuses and other benefits.
